The BRIDGE School Partnerships Program, funded by the Department of Foreign Affairs and Trade and implemented by the Asia Education Foundation at The University Of Melbourne is a professional learning program using international school partnerships to build teacher and student capacity to develop cultural awareness, improve language skills, improve ICT skills, and broaden and improve teaching methods.

The BRIDGE Program contributes to the wider Australia-Indonesia relationship through direct people-to-people links across the education sectors of both Australia and Indonesia. The program establishes and builds links between Australian and Indonesian school leaders, teachers and their students and improves communication through global learning and new technology via sister school arrangements.

The BRIDGE School Partnerships Officer will support Asia Education Foundation (at the University of Melbourne) with the delivery of Australia-Indonesia BRIDGE Programs and post-program engagement with schools.

Main responsibilities will be in the handling of communication and post-program support with schools, support program logistics and delivery, maintain the CRM database and work with other members of the Indonesia BRIDGE team and AEF team to support the effective and timely delivery of the BRIDGE School Partnerships Program.

 

1. Key Responsibilities

Under the general direction of the Associate Director, International the School Partnerships Officer will provide support on international programs through:

1.1 ADMINISTRATION SUPPORT

Respond to school registrations and general enquiries for the Australia-Indonesia BRIDGE School Partnerships Program

Liaison between key stakeholders and customers

Liaison with educators participating in the Australia-Indonesia BRIDGE School Partnerships Program

Support logistical arrangements

Provide school partnership support for potential and existing participants and partnerships

1.2 COMMUNICATIONS AND INFORMATION SYSTEM

Maintain CRM database to reflect all contact with stakeholders and collate participants activity and evaluation responses.

Regular email and phone liaison with program stakeholders

Regular communication with educators participating in the Australia-Indonesia BRIDGE School Partnerships Program

1.3 FINANCIAL MANAGEMENT

Under the direction of the Associate Director, International ensure accurate invoicing and monitoring of receivables associated with projects

1.4 DEVELOPMENT

Participate in performance evaluations and career development planning.

1.5 INTERNAL OPERATIONS

Participate in team meetings and lend expertise to internal teams and task forces.

Effectively communicate relevant project information to others.

Implement and review procedures in accordance with the BRIDGE Program’s methodologies to ensure successful execution of projects as measured by the BRIDGE Program and The Department of Foreign Affairs and Trade’s goals and satisfaction requirements.

2. Selection Criteria

2.1 ESSENTIAL

A diploma level qualification in a relevant field or equivalent combination of relevant work-related experience and/or education/training.

Demonstrated commitment to providing a high level of customer service and continuous improvement to the standard of service.

Demonstrated ability to prioritise tasks and meet deadlines and work effectively under pressure and efficiently within a framework of broad guidelines and administrative procedures.

Highly developed interpersonal and communication skills, both written and oral including demonstrated accuracy and attention to detail and ability to liaise effectively at all levels in a professional manner.

Demonstrated high level proficiency in the drafting and preparation of letters, memos, reports and attending to correspondence.

Demonstrated ability to cooperatively participate as a member of a busy team, be self-motivated and work independently when required, including the proven ability to maintain and suggest improvements to operational processes.

High level computer literacy with demonstrated proficiency in a range of software packages including Microsoft Word, Microsoft Excel, database applications and Microsoft PowerPoint.

High level command of the English language

2.2 DESIRABLE

Experience in a school or tertiary education environment

Knowledge and understanding of the Australian Government’s Department of Foreign Affairs and Trade policies and processes within the education context.

 

3. Job Complexity, Skills, Knowledge

3.1 LEVEL OF SUPERVISION / INDEPENDENCE

Working under the general direction of the School Partnerships Coordinator and the Associate Director, International, the incumbent is expected to exercise a level of independence, initiative and diplomacy to resolve day to day problems. The incumbent will generally refer issues to the Associate Director in the absence of established procedure or where issues fall outside the School Partnerships Coordinator ‘s responsibilities and/or require significant intervention. Excellent organisational skills are required to keep all program components moving within deadlines. The ability to follow tasks through to completion is essential.

3.2 PROBLEM SOLVING AND JUDGEMENT

The incumbent is working primarily with the School Partnerships Coordinator to resolve problems and ensure compliance with the deliverables for the BRIDGE program and the Department of Foreign Affairs and Trade. The School Partnerships Officer is expected to contribute towards improving service delivery in processes and administrative efficiencies to assist in achieving the strategic goals of the program area. The School Partnerships Officer is regularly dealing with a number of tasks at once and requires exceptional time management skills with the ability to prioritise competing deadlines. The position requires diplomacy, discretion and maturity in communication with clients, key stakeholders and staff.

3.3 PROFESSIONAL AND ORGANISATIONAL KNOWLEDGE

The incumbent is expected to have or to develop a sound knowledge of the educational systems and processes in Indonesia across a range of regional, provincial and state levels, including The Ministry of Education and Culture and The Ministry of Religious Affairs. The School Partnerships Officer will be required to liaise with a broad range of program partners and clients in Indonesia and Australia.

3.4 RESOURCE MANAGEMENT

The occupant will have responsibility for updating and managing the program database and appropriate filing of related communications with stakeholders.

3.5 BREADTH OF THE POSITION

The School Partnerships Officer will undertake administrative duties within the program and is expected to contribute to the ongoing goals of the BRIDGE Program. The position liaises with a broad range of stakeholders and clients and is therefore expected to provide a high level of service and demonstrate a commitment to the success of the BRIGE Program activities.

 

4. Special Requirements

Work outside of normal business hours may be required particularly in peak periods.
